What is your Extra Session process?

When we receive a request for extra sessions, we will seek all the information we require to make a decision about whether the sessions are required.

If we believe extra sessions are clinically indicated, we will inform you of the request via an email sent to the person or people in your organisation who we have on record as authorised to make these decisions. You can have more than one authoriser in an organisation, but we will not be able to direct emails to different authorisers for different parts of an organisation or for different types of employees/family members.

The email will give you information about the request including the case ID number, reason for the extra session request and the referral pathway for the employee/family member. You will be able to approve or decline the request directly by clicking on the link. Names of employees/family members will not be provided.

You will always have the choice to say “no” to extra sessions. We do our best through our review process to make sure that extra sessions are not being used inappropriately by consultants and are clinically warranted, but you get the final say.

In our experience, the vast majority of all requests are granted as we are careful to ensure they are made on a sound clinical basis. Because so few requests are denied, and to ensure that vulnerable people don’t have to wait too long for a decision, if we don’t hear from you within 7 business days we will go ahead and process the extra sessions request and deliver the support. We recognise that we are making changes to the way that extra sessions happen historically. We are primarily doing so because we believe that it is a significant improvement that will enhance the continuity of care in higher risk cases and generally support the wellbeing of your employees and their family members. You may choose to not offer extra sessions at all. We can certainly accommodate that and would simply note in our system that any employees/family members from your organisation have no eligibility for extra sessions which will be clear from the outset and shape how high-risk employees/family members are managed.
